Setup New Listing File 


  • Complete listing file creation in agents preferred software


  • Add client to agents CRM database (if applicable)


  • Fill out listing documents and required disclosures to send to client for signatures.


  • Order preliminary title & NHD Report (if applicable)


  • Schedule photographer for photo shoot once house is staged. - (if applicable)


  • Order for sale sign - (if applicable)


  • Email seller copy of the listing


  • Add all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete. 


When a listing is under contract I will: 


  • Coordinate opening of the file with escrow and handle all documents securely.


  • Introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to coop-agent, buyers agent, buyer/seller - (Your client as appropriate) lender and title company.


  • Ensure everything is fully executed with dates, initials, signatures, broker information is completed. 


  • Submit all required contract documents to broker for compliance.


  • Send/request disclosure packages and gather signatures if needed. 


  • Ensure the lender, escrow company, and broker receive any amendments or changes to the contract. 


  • Verify EMD has been received and obtain receipt from escrow. 


  • Verify inspection date and time. Ensure all parties have received reports to review. 


  • Keeping in contact with the escrow company and lender throughout the transaction.


  • Update deadlines due to any changes in the contract. 


  • Collect HOA documents in accordance with deadlines and email to buyer agent (if on list side) or to buyer (if on buyer side) 


  • Order Home Warranty per contract if needed. 


  • Order HOA documents if needed. 


  • Confirm inspection has been set up in accordance with offer deadline. 


  • Monitor appraisal timeline and completion with the lender. (if applicable)


  • Coordinate and monitor buyers loan status with lender. (if applicable)


  • Ensure your buyer/seller is provided a copy of all documents. 


  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable) 


  • Provide access to the transaction management service 24/7 to all parties to the transaction (if applicable) 


  • Maintain constant contact with all parties involved for status updates as well as outstanding items. 


  • Verify escrow has all required documentation. 


  • Coordinate and confirm final walk-through (if applicable).


  • Conduct a final audit of file 7 days prior to closing to ensure all documents are uploaded and the file is complete. 


  • Upload Final HUD/ CD to online transaction management service for compliance

SELLERS SIDE: 


  • Upload Listing Agreement and all broker required forms for compliance. 


  • Follow up signatures of all documents. 


  • Upload all forms, amendments, and addendums for compliance. 


  • Follow up on repairs and receipts. 


  • Order For sale sign down. (if applicable)


  • Send email to your client asking for a review on Zillow or your preferred site. (if applicable)



BUYERS SIDE: 


  • Upload buyers rep agreement and all broker required forms for compliance. 


  • Submit all executed contracts, counter-proposals, and amendment extensions (if applicable) to lender. 


  • Arrange EMD pick up or remind the buyer to wire as necessary (if applicable). 


  • Upload all forms, amendments, and addendums for compliance 


  • Follow up on repairs and receipts from inspections 


  • Send email to your client asking for a review on Zillow or your preferred site (if applicable)



Agent Expectations 


Agents are to input listing into the MLS, review preliminary title reports, escrow instructions and settlement statements to make sure everything is correct. Negotiate repairs and any changes to the contract. Advise the client of any contingency timeline removals (I will remind all parties of the dates and timeframes in the introductory email).

If TC is drafting documents, the agent will review before being sent to client (if applicable). 


Fee Schedule 


  • Residential Listing Transaction to Close - Seller Side Residential: $450 / Dual $675
  • Residential Purchase Transaction to Close - Buyer Side Residential: $400
  • Land Listing Transaction to Close - Seller Side: $225 / Dual $325
  • Land Purchase Transaction to Close -  Buyer Side: $175


Paid at closing according to TC Support Service Agreement.


Special Project Work: $30 hr / paid upon completion
